This year, we will start using a facilitated IEP meeting format. IEP meetings will typically last 30-45 minutes. A lot of the work will be done prior to the meeting with the parent via phone/email conversations. Prior to the meeting, parental, student, and teacher input will be collected via interviews and surveys to add to the IEP. A draft of the student's new IEP can be given to the parent for review prior to the meeting.
The case manager will be the facilitator, and other roles will be assigned such as note taker and timekeeper to ensure that the meeting runs in a professional and timely manner. Goals, services, and accommodations will be created/updated during the meeting and information will be shared about the student's current performance.
The meetings will be run using the following format:
1. Introductions
2. Meeting norms/rules
3. Roles (facilitator, timekeeper, note taker, etc.)
4. Review agenda
5. Review data/interviews
6. Formulate goals, services, and accommodations
7. Action plan (what actions will the case manager take to ensure that all parental requests will be met in a timely manner)
8. 'Parking Lot': Things that the parent wants addressed that don't necessarily have to do with the IEP meeting that can be taken care of at a different meeting time.
9. Signatures
10. After the meeting, the case manager will email or mail a copy of the prior written notice, which summarizes the decisions that were made and the important points discussed in regards to options that were proposed/refused prior to the IEP being implemented.
